Privacy Policy

This policy is provided on a template-plus-review basis. It is customized to the RentsPaid data inventory and is pending a one-time legal-sufficiency review before it is treated as authoritative.

1. Who we are

RentsPaid (“RentsPaid”, “we”, “us”) is a property-management platform for small landlords participating in the U.S. Department of Housing and Urban Development (HUD) Housing Choice Voucher (Section 8) program. This policy explains how we collect, use, disclose, and protect personal information in connection with our web and mobile applications.

2. Personal information we collect

The categories of personal information we process are driven by the HUD-regulated nature of the Section 8 program. We collect:

  • Contact information — name, email address, postal address, and telephone number of landlords and tenants.
  • Date of birth — collected for tenant household members where required for Section 8 eligibility and compliance.
  • Income and financial data — household income figures and HAP (Housing Assistance Payment) amounts used for rent-reasonableness and compliance tracking.
  • Government identifiers in tax documents — IRS Form W-9 documents that contain Social Security Numbers or Employer Identification Numbers, uploaded by landlords for HAP payment processing.
  • Inspection photographs — images of rental units captured for NSPIRE inspection preparation, which may incidentally depict occupants or personal property.
  • Household composition — the number and, where required, identity of household members for Section 8 eligibility and unit-size compliance.
  • Usage and device data — log data, IP address, and basic device information generated when you use the platform.

3. How we use personal information

We use personal information to operate the platform, process and track HAP payments, prepare and document NSPIRE inspections, manage Section 8 compliance deadlines and obligations, communicate transactional and program notices, secure the service, and meet our legal and HUD-regulatory obligations. We do not sell or share personal information for cross-context behavioral advertising.

4. Third-party processors

We rely on a small set of vetted sub-processors that process personal information on our behalf under contract:

  • Supabase — authentication, primary database (with row-level security), realtime, and file storage for documents and photographs.
  • Vercel — application hosting and serverless API execution for the web platform.
  • Resend — transactional and program email delivery.

5. HUD-regulated processing

Because RentsPaid supports the Section 8 program, some processing is required or constrained by HUD regulations and program rules. Where HUD or a Public Housing Agency mandates collection, retention, or disclosure of specific data, we process that data to the extent necessary to support lawful program participation.

6. Data retention and security

We retain personal information for as long as needed to provide the service and to satisfy HUD-regulatory and legal obligations, after which it is deleted or de-identified. We apply row-level-security database policies, scoped storage access, and transport encryption to protect personal information.

7. Your privacy rights (CCPA / CPRA)

Depending on your jurisdiction, you may have the right to know what personal information we hold about you, to request access or a copy, to request correction, to request deletion, and to not be discriminated against for exercising these rights. California residents have these rights under the California Consumer Privacy Act as amended by the California Privacy Rights Act. 9. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the effective date above and, where appropriate, by additional notice.
